Description

We’re looking for an Executive Assistant to the Founder/CEO to join our distributed team working remotely predominantly within the PST timezone.

The ideal candidate has 2+ years as an executive assistant in a high-growth startup, loves details, problem-solving, communication and organization, and thrives in a fast-paced, rapidly evolving environment.

About The Role

In this role, you will be the key support and partner to our Founder + CEO Ben Aston in managing his time and taking things off his plate. You’ll be a critical member of the team, making sure that Ben has the opportunity to focus on the highest impact work while navigating through his meetings and priorities with ease.

Executive Admin

  • Manage Ben’s calendar, drafting emails, coordinating meetings and video/conference calls, responding to voicemails, and solving other administrative issues
  • Manage relationships via email and phone with stakeholders
  • Create presentations for meetings as required
  • Follow up on actions from meetings to ensure completion
  • Take on internal communication & planning responsibilities, such as supporting weekly team meetings and managing team events
  • Organize and prepare content for offsite meetings, conferences, and seminars in addition to planning travel arrangements
  • Collaborate cross-functionally with department leaders to support Ben
  • Conduct research on Ben’s latest crazy idea
  • Coordination company events and staff celebrations, anniversaries, awards etcs
  • Coordinate payroll, benefits, invoicing and financial administration

Office Admin

  • Undertake a leadership role in creating a fun culture
  • Source office equipment required or services to be provided
  • Develop Administration procedures including workflow and filing
  • Work alongside managers to support recruitment
  • Responsible for all onboarding and management of employee folders
  • Maintain company registers
  • Responsible for management of allocated budgets (general office)
  • Establishment and maintenance of company intranet

Events Coordination

  • Effective coordination of all functions as required
  • Responsible for management of allocated budgets

Who You Are

  • You’re an exceptional written and verbal communicator with the ability to adapt your tone and style to your audience
  • You have incredible attention to detail without losing sight of the big picture
  • You’re a natural, creative problem solver – you find a way to get things done
  • You’re self-motivated, driven and a self-starter – getting things done independently
  • You have experience in a startup or similar fast-paced environment where there is frequent change and a need to demonstrate and act with a sense of urgency
  • You have 2+ years of experience in similar roles supporting C-Suite leaders
  • You have exceptional organizational skills, flexibility, multitasking abilities, and a high level of attention to detail in a fast-paced environment
  • You have a passion for optimizing time management
  • You can work quickly and are exceptionally adept at prioritizing and scheduling.
  • You have familiarity with tools like Google Docs, Google Calendar, and Gmail; Excel proficiency a plus
